Device Inventory
Device Inventory is a dedicated list for individual phones/handsets tracked by IMEI — separate from the main Products/Inventory catalogue, since each unit here is an individually identifiable device (by IMEI) with its own warranty, owner and status, rather than a bulk-counted catalogue item.
Overview
Each device has two IMEI fields, brand, model, color, storage, RAM, purchase date, warranty length (months), an auto-computed warranty expiry date, an optional linked customer, purchase/selling price, a status (IN_STOCK, SOLD or REPAIR) and free-text notes.
Warranty Expiry is computed automatically from Purchase Date and Warranty Months at the moment a device is created — it is not recalculated if you edit Purchase Date or Warranty Months afterwards (see Troubleshooting).
This list is completely independent of the Products and Inventory pages — devices here are not linked to the billing/POS catalogue, so selling a device here does not create a Quick Billing sale or deduct any Products/Inventory stock.
Before You Start
- You must have the Billing feature enabled on your plan.
Step-by-Step Guide
1 Add a new device
- Open Mobile → Device Inventory and click "+ Add Device".
- Fill in IMEI 1 (required) and Brand (required), plus IMEI 2, Model, Color, Storage, RAM, Purchase Date, Warranty (months) and Customer Name as known.
- Click "Save" — the device is created with status IN_STOCK and its Warranty Expiry is calculated automatically from Purchase Date + Warranty Months.
2 Update a device's status or details
- Click "Edit" on any device card to reopen the form pre-filled with its current values.
- Change Status to SOLD once the device is sold, or to REPAIR if it goes into your own repair workflow, then click "Save".
3 Find and monitor devices
- Use the search box to filter by brand, model, IMEI or customer name as you type.
- Use the ALL / IN_STOCK / SOLD / REPAIR chips to filter the list by status.
- Each card shows a live "Warranty: Nd left" or "Warranty: Expired" line, highlighted red once 30 days or fewer remain.
4 Remove a device
- Click "Delete" on the device card and confirm — this permanently removes the device record.
Every Field & Button, Explained

Status | IN_STOCK, SOLD or REPAIR. Set manually; nothing else in the app changes it automatically. |
Tips & Best Practices
- Enter Purchase Date and Warranty Months accurately when you first add a device — Warranty Expiry is only calculated at creation time, so it will not correct itself later if either value was wrong.
- Use the REPAIR status for devices you are servicing yourself as stock (e.g. refurbishing before resale) — it is a separate concept from the customer-facing Repair Jobs list.
