Material Stock
Material Stock is a dedicated stock list for the raw materials, hardware parts and consumables used on repair or fabrication jobs — separate from the main Products/Inventory catalogue, since these are typically bought in bulk (rods, sheets, fasteners, fittings) and consumed on jobs rather than sold as individual retail items.
Overview
Each material has a name, category, unit, current quantity, minimum stock level, and both a cost price and selling price — the selling price is informational (e.g. for quoting a customer) and is not linked to the billing/POS pricing engine.
A material is flagged "LOW" the moment its quantity drops to or below its minimum stock level — the same threshold drives the Low Stock count and banner on Hardware Overview.
This list is completely independent of the Products and Inventory pages — materials here are not sellable catalogue items and do not appear in Quick Billing.
Before You Start
- You must have the Billing feature enabled on your plan.
Step-by-Step Guide
1 Add a new material
- Open Hardware → Material Stock and click "+ Add Material".
- Fill in Name (required), Category, Unit, Quantity, Min Stock, Cost Price and Selling Price.
- Click "Save" to add it to the list.
2 Update quantity or details
- Click "Edit" on any row to reopen the form pre-filled with its current values.
- Adjust Quantity after a purchase or after using material on a job, then click "Save".
3 Find and monitor materials
- Use the search box to filter by name or category as you type.
- Rows with quantity at or below Min Stock show a red "LOW" badge next to the name and highlight the quantity in red — scan for these before they run out.
4 Remove a material
- Click "Delete" on the row and confirm — this permanently removes the material record.
Every Field & Button, Explained
| Field / Button | What it does |
|---|---|
Name | Material/part name (required) — e.g. "MS Angle 25mm", "M8 Bolt", "Copper Wire 1.5mm". |
Category | Free-text grouping (e.g. Fasteners, Sheet Metal, Wiring) used for search filtering; no fixed list. |
Unit | Free-text unit of measure (e.g. piece, kg, metre, box); defaults to "piece" for a new material. |
Quantity | Current stock on hand, in the material's Unit. Updated manually — there is no automatic deduction when materials are used on a job. |
Min Stock | Threshold below (or at) which the material is flagged LOW everywhere it appears (this page and Hardware Overview). |
Cost Price (₹) | What you pay per unit when buying the material. |
Selling Price (₹) | A reference price per unit, useful when quoting a customer for material used on a job — not connected to product pricing or billing. |
Tips & Best Practices
- Set Min Stock a little above your typical single-job usage so the LOW badge gives you enough lead time to reorder before you run out mid-job.
- Because quantity is updated manually, get into the habit of adjusting it right after both purchases (increase) and job usage (decrease) so the LOW alerts stay accurate.
