Celebration Setup

Celebration Setup coordinates in-table surprises for a guest who is already booked or on their way in — birthdays, anniversaries, proposals and more. It captures the decoration package, cake arrangement, complimentary extras, exactly when during the meal to execute the surprise, and produces both a staff briefing slip and a personalised table card to print.

Overview

This page is distinct from Catering & Events (off-site events) and Advance Orders (food pre-ordering) — it exists purely to coordinate a surprise element for a guest already dining or about to arrive at a specific table.

A setup has three statuses: Pending (setup not yet arranged) → Ready (decoration/cake ready to go) → Executed (surprise has happened) — advanced one step at a time via the "Mark Setup Ready" / "Mark Executed" button; there is no separate Cancelled state, only delete.

Decoration Packages are tiered with fixed prices — No Decoration (free), Basic (₹299, 2 candles + 2 balloons), Classic (₹599, candles + balloons + streamers), Premium (₹999, flowers + candles + photo backdrop), Luxury (₹1999, full floral setup + photographer).

Complimentary Extras (Welcome Drink, Petals Shower, Photography, Sparkler Candles, Flower Bouquet, Custom Banner) are multi-select, each with its own price (Welcome Drink is free); an "Extras total" is calculated and shown on each card, adding the decoration package price, a flat ₹500 for in-house cake, and the sum of selected comps.

Surprise Timing is chosen from a fixed list (On Arrival, After Welcome Drinks, After Starter Course, After Main Course, Before Dessert, On Staff Signal) so the floor captain knows exactly when to trigger the moment.

Two separate print actions exist: a Staff Briefing slip (occasion, table, decoration, cake, extras, timing and staff note — meant for the captain at pre-service briefing) and a Table Card (a decorative personalised message card to leave on the table, using the Table Card Message field or a default wish if left blank).

A date picker at the top lets you view setups for any day (defaults to today); status filter chips (All / Pending / Ready / Done) narrow the list further.

Before You Start

Step-by-Step Guide

1 Create a new celebration setup

  1. Open Events & Banquet → Celebration Setup and click "New Setup".
  2. Pick the Occasion (Birthday, Anniversary, Proposal, Graduation, Baby Shower or Other), then enter Guest Name, Phone, Date, Arrival time, Table and Party Size.
  3. Choose a Decoration Package and, if a cake is wanted, pick a Cake option and enter Flavour and Candle count.
  4. Select any Complimentary Extras, choose the Surprise Timing, and add a Table Card Message and/or Staff Briefing Note.
  5. Click "Create Setup" to save.

2 Advance a setup and brief the team

  1. Once decoration and cake are ready, click "Mark Setup Ready" on the setup card.
  2. Print the Staff Briefing slip and hand it to the floor captain ahead of pre-service briefing.
  3. When the guest arrives and the surprise moment happens, click "Mark Executed 🎉" to close it out.

3 Print a personalised table card

  1. Click the card icon (🃏) on the setup card.
  2. A print window opens with the occasion, your Table Card Message (or a default wish if none was entered), and the restaurant's signature line — leave this printed card on the guest's table ahead of arrival.

4 Browse setups by date and status

  1. Use the date picker at the top to switch between days (defaults to today).
  2. Use the All / Pending / Ready / Done filter chips to narrow the list, each showing a live count.

Every Field & Button, Explained

Surprise TimingOn Arrival, After Welcome Drinks, After Starter Course, After Main Course, Before Dessert, or On Staff Signal — tells the floor captain the exact moment to trigger the surprise.
Table Card Message / Staff Briefing NoteTable Card Message is the guest-facing wish printed on the table card (falls back to a generic "Wishing you a wonderful [Occasion]!" if left blank); Staff Briefing Note is internal-only coordination text for the captain, kitchen or photographer.
StatusPending → Ready → Executed, advanced one step at a time via the card button; there is no Cancelled status, only permanent deletion.

Tips & Best Practices

Troubleshooting & FAQ

The Extras total on a card looks lower than expected.
It only adds the Decoration Package price, a flat ₹500 for In-house Cake specifically (External or Ordered cakes add nothing to this total), and the sum of selected Complimentary Extras — it does not include the meal itself.
I need to cancel a setup, but there's no Cancelled option.
This page has no Cancelled status — if a celebration is called off, delete the setup outright using the trash icon.
The printed table card shows a generic message instead of what I wrote.
Check the Table Card Message field was actually filled in and saved — if it was left blank, the print falls back to a default wish based on the Occasion.
