Event & Marketing Calendar
Event & Marketing Calendar plans recurring and one-off in-house promotional events — live music nights, holiday specials, Sunday brunches, happy hours — shown either as a colour-coded monthly calendar grid or a sortable list, with a same-day "on tonight" banner and recurrence options for events that repeat weekly or monthly.
Overview
This page shares the same underlying event records as the Themed Night & Event Planner page — both read and write the restaurant's "events" data, but this calendar view is built around browsing by month and setting up recurring promotions rather than deep single-event planning.
Eight Event Types are available (Live Music, Themed Dinner, Happy Hour, Special Brunch, Promotion/Offer, Holiday Special, Tasting Event, Other), each with its own emoji and colour used in both the calendar grid and list view.
Recurrence is a simple label on the event, not an actual repeating-series generator — options are One-time only, Every week, Every other week, Monthly (same date), or Every Friday & Saturday; choosing a recurrence does not automatically create multiple calendar entries.
Status moves through Planned → Confirmed → Live Now! → Done, with Cancelled as a separate option; status-change buttons in list view show every other non-Live status as a quick jump, not a strict single-step sequence.
An "On tonight" banner appears whenever one or more non-cancelled events are dated today, listing each with its emoji and name for a quick daily glance.
The calendar grid shows small coloured chips (by event type) on each day that has one or more events; clicking a day with events is intended to surface them (list view gives the full detail per event).
Print Event Brief produces a one-pager with type, date/time, expected covers, staff required, special menu, status, offer/promotion text and staff notes.
Before You Start
- You must have the Billing feature enabled on your plan.
Step-by-Step Guide
1 Plan a new calendar event
- Open Events & Banquet → Event & Marketing Calendar and click "New Event".
- Pick an Event Type, enter the Event Name, Date, Start/End Time and Recurrence.
- Enter Expected Covers and Staff Needed, plus an optional Special Menu and Offer/Promotion text.
- Add any Staff Notes for setup instructions or coordination, then click "Create Event".
2 Switch between calendar and list views
- Click the view toggle button (top right) to switch between the monthly Calendar grid and the sortable List view.
- In Calendar view, use the month navigation arrows to move forward/back; each day shows small coloured chips for any events that day.
- In List view, events are sorted by date and show full detail cards with quick status-change buttons.
3 Update event status
- In List view, click one of the status buttons on an event card (e.g. "→ Confirmed", "→ Cancelled") to change its status directly.
- There is no forced sequence — any listed status (other than the current one and Live) can be selected at any time.
4 Print an event brief and filter by type
- Click the printer icon on an event card (list view) to print a one-page brief with all its details.
- Use the type filter chips (showing each type's emoji) above the list/calendar to narrow to a single event type; click "All" to clear it.
Every Field & Button, Explained
| Field / Button | What it does |
|---|---|
Event Name, Date | Both required before an event can be saved. |
Event Type | Live Music, Themed Dinner, Happy Hour, Special Brunch, Promotion/Offer, Holiday Special, Tasting Event or Other — sets the emoji/colour used in both calendar and list views. |
Recurrence | One-time only, Every week (same day), Every other week, Monthly (same date), or Every Friday & Saturday — a descriptive label only; it does not generate additional calendar entries automatically. |
Expected Covers / Staff Needed | Numeric planning figures shown on the event card and included in the printed brief. |
Special Menu / Offer / Promotion | Special Menu names any linked menu for the night (e.g. "Holi Festive Menu"); Offer/Promotion is free text for a specific deal (e.g. "15% off beverages"). |
Staff Notes | Free text for setup instructions or coordination notes, included on the printed brief. |
Status | Planned, Confirmed, Live Now!, Done, or Cancelled — any status other than the current one (and excluding Live Now! as a manual target) can be selected directly from the list view. |
Tips & Best Practices
- Use the Calendar view to spot gaps in your promotional schedule across a month at a glance, then switch to List view to edit or print a specific event's details.
- Treat Recurrence as a note-to-self rather than an automation — if an event repeats weekly, you still need to create each week's entry yourself; the field just documents that it is a repeating slot.
- Check the "On tonight" banner each afternoon to confirm which promotions are active before the evening shift starts.
