Reservations
Reservations is the day-by-day booking book for your restaurant — create a reservation with guest details, date/time, party size, table and optional deposit, then move it through Pending → Confirmed → Seated (or Cancelled/No Show) as the booking progresses toward and through the guest's visit.
Overview
A date navigator (previous/next day arrows, plus a "Today" shortcut) controls which single day's reservations are shown; there is no combined multi-day list view on this screen.
Every reservation carries deposit fields (depositAmount, depositStatus, depositMode, etc.) and confirmation-call fields (confirmStatus, confirmAttempts, etc.) directly on the same record — these are the exact fields edited by the separate Reservation Deposits and Reservation Confirmations screens, so changes made there show up here too.
Status flow is PENDING → CONFIRMED → SEATED, with a one-click "next action" button on each card (Confirm, then Seat Now); NO_SHOW and CANCELLED are available separately from the detail drawer at any point before SEATED.
Clicking a reservation card (not its action button) opens a detail drawer with the full booking, its deposit summary (if a deposit amount is set) and confirmation-call summary (if it has ever been contacted), plus Edit/Delete and status-change actions.
This screen is gated to the Advanced plan tier or higher — if your account is on a lower tier the Reservations item may not appear in navigation at all.
Stat cards at the top show Total reservations for the selected day, total Covers (excluding cancelled/no-show), Pending count and Seated count.
Filter pills (All, Pending, Confirmed, Seated, Cancelled, No Show) narrow the visible list for the selected day, each with a live count.
Before You Start
- You must have the Billing feature enabled on your plan.
- Reservations requires the Advanced plan tier (or higher) — it will not be available on lower-tier plans.
- Add tables in Table Management first if you want to assign a table at booking time (table assignment is optional and can be done later).
Step-by-Step Guide
1 Create a new reservation
- Open Reservations, navigate to the correct date, and click "New Reservation".
- Fill in Guest Name (required), Phone, Date and Time (required, 30-minute slots), Number of Guests (required), and optionally a Table and Deposit Amount.
- Add any special requests or notes, then click "Create Reservation".
2 Move a reservation through its lifecycle
- On a PENDING card, click "Confirm" to move it to CONFIRMED.
- On a CONFIRMED card, click "Seat Now" once the party arrives and is seated — this moves it to SEATED.
- To cancel or mark a no-show instead, click the card to open the detail drawer and use "Mark No Show" or "Cancel Reservation" there.
3 Review a reservation's full details
- Click anywhere on a reservation card (not the action button) to open the detail drawer.
- Review date/time, covers, phone, assigned table and notes, plus the Deposit and Confirmation sections if either has ever been recorded.
- Use Edit or Delete from the bottom of the drawer if changes are needed.
Every Field & Button, Explained
| Field / Button | What it does |
|---|---|
Guest Name / Phone | Guest Name is required. Phone is optional but is what confirmation calls and any guest-facing communication would reference. |
Date / Time | Time is chosen from fixed 30-minute slots (10:00 through 23:30); both are required to create a booking. |
Number of Guests (partySize) | Required; feeds the day's total Covers stat card (cancelled/no-show reservations are excluded from that total). |
Table | Optional at booking time — leave as "— Assign later —" and assign a table when the guest is closer to arriving, e.g. from Host Station. |
Deposit Amount | Optional; setting it here is what makes the reservation appear on the separate Reservation Deposits screen. Deposit status/mode/reference are then managed from either this reservation's detail drawer or the Reservation Deposits screen — both edit the same record. |
Status | PENDING (default) → CONFIRMED → SEATED is the normal path; CANCELLED and NO_SHOW are terminal states reachable from the detail drawer at any point before SEATED. |
Tips & Best Practices
- Set a deposit amount at booking time for large parties or peak nights — it automatically makes that booking trackable on the Reservation Deposits screen without any extra setup.
- Leave the table unassigned for bookings made well in advance — assigning it closer to the day (via Host Station or by editing the reservation) keeps you flexible if your floor plan changes.
- Use the date navigator's arrows to quickly check tomorrow's or the next few days' bookings while planning staffing or prep.
