Subscription Passes

Subscription Passes lets you sell prepaid, time-boxed plans — a lunch thali pass, a daily coffee pass, a monthly buffet pass — each with a validity period and a daily-use cap, then enrol customers as members and redeem their daily allowance as they visit.

Overview

Two tabs: Plans (what you sell) and Members (who has bought one and their usage), each with its own list and its own creation form.

A Plan defines Plan Name, Description, Price, Validity (Days) and Max Uses Per Day — e.g. a "Monthly Lunch Pass" priced at ₹2,500, valid for 30 days, usable once per day.

Enrolling a member links a customer (name + phone) to a Plan and a Start Date; the member's End Date is calculated automatically as Start Date + the plan's Validity Days.

Each member has a Status — Active, Expired or Suspended — plus a running count of Uses Today and Total Uses, so you can see at a glance who is within their daily allowance and who has hit their cap for the day.

A "Use" action redeems one instance of the member's daily allowance (e.g. when they come in for that day's lunch) and is only available while the member is Active and within their validity window.

Before You Start

Step-by-Step Guide

1 Create a subscription plan

  1. Switch to the Plans tab and click "New Plan".
  2. Enter Plan Name, Description, Price, Validity (Days) and Max Uses Per Day.
  3. List the items included (e.g. "Thali (veg/non-veg), 1 beverage") in Items Included.
  4. Save with Active turned on so the plan can be sold and enrolled into.

2 Enrol a customer as a member

  1. Switch to the Members tab and click "New Member".
  2. Pick the Plan, enter the Customer Name and Phone, and confirm the Start Date (usually today).
  3. Save — the member's End Date is calculated automatically from the plan's validity, and their status starts as Active.

3 Redeem a member's daily use

  1. Switch to the Members tab and find the member (their status must be Active and End Date not yet passed).
  2. Click "Use" to redeem one instance of their daily allowance for today.
  3. Their Uses Today and Total Uses counters update immediately.

Every Field & Button, Explained

Tips & Best Practices

Troubleshooting & FAQ

A member can't redeem their pass today.
Check three things: their Status is Active (not Expired/Suspended), today's date is on or before their End Date, and they haven't already hit the plan's Max Uses Per Day for today.
A member's End Date looks wrong.
End Date is calculated automatically as Start Date + the plan's Validity Days at the moment of enrolment — if the underlying plan's Validity was changed afterward, already-enrolled members keep the End Date calculated at their original enrolment time.
I want to change what a plan includes without affecting existing members.
Editing a Plan's details (price, items included) doesn't retroactively change already-enrolled members' End Dates or usage counters — only new enrolments after the edit reflect updated Plan settings other than validity-derived dates.
